Conference calls are one of the most important tools in corporate communication.
This makes it all the more important that they are easy to set up and intuitive to control.
With XPhone you can schedule a conference in seconds. One click on the Outlook or Notes plug-in is all it takes to open the appointment for a new conference.
Dialing in is just as easy: internal participants are identified by their number. A PIN is only requested from external participants.
XPhone provides a maximum overview during the conference: you can see who has been invited and who has already dialed in. The speaker is displayed by name.
Is the background noise of a participant disturbing the conversation? Set it to mute or remove it if necessary. If words are not enough, you can add a chat or screen sharing to the conference at any time.
You can't always plan your conferences in advance? No problem. You can spontaneously add additional participants to any call or start an ad-hoc meeting.
Outlook & Notes
With the help of the plugin for Microsoft Outlook & HCL Notes, a single mouse click is all it takes to create a new conference.
The conference is displayed like an appointment – and can be managed, postponed or canceled just as easily.
Simply select the desired participants, date and time: done. The participants receive a dial-in number and room PIN by email.
Do you work internationally?
During planning, the conference manager can specify the language in which the invitation text and conference announcements should be made.
Conference control in the client
Easy to set up – even easier to dial in: the moderator and internal participants enter the conference with a click on the dial-in pop-up. Thanks to authentication using the telephone number, no PIN entry is required. Internal participants can see in the client not only who has been invited to the conference, but also who has already dialed in.
The "Active Speaker" function offers considerable added value, especially for large conferences: the name of the current speaker is always displayed.
The moderator has additional control options: he can lock the conference room so as not to disturb the ongoing call with new entrants, or mute participants if required.

Multi-PBX-capable - ideal when different telephone systems are in use
The conference server is part of the XPhone Connect Server. Various locations and different telephone systems can be connected to the server.
International address
The moderator can select the language for the invitation text and the conference announcements when planning the conference. There are additional dial-in numbers for other languages in the invitation. This means that participants are greeted in the appropriate national language when they dial in.
Save costs
Thanks to the XPhone Connect conference server, customers and employees can dial in via the company phone number. This is covered by a flat rate with most tariffs and therefore generates hardly any connection costs.
